About the Role
We’re seeking a proactive, highly organized Executive Assistant with 5+ years of experience supporting C-suite leaders. This is a high-impact, hands-on role for someone who thrives in fast-paced environments, anticipates needs, and brings structure to complex, evolving priorities. Sitting within the CEO’s office, this role requires someone who can operate seamlessly in a traditional C-suite support capacity while helping refine and scale the broader executive office function by establishing strong operating rhythms and ensuring seamless coordination across executive support.
Executive Partnership & Strategic Support: Build a strong, trusted partnership with the CEO, providing holistic executive support across business and operational priorities. Collaborate closely with Senior Executive Assistants to ensure coordinated, high-quality support across the CEO’s office. Serve as a strategic thought partner by anticipating needs, identifying risks, and proactively resolving issues. Act as a trusted gatekeeper and point of contact, managing inbound requests with sound judgment.
Calendar, Travel & Meeting Management: Own complex calendar management across multiple priorities, time zones, and stakeholders. Proactively identify conflicts and optimize scheduling to align with strategic priorities. Coordinate domestic and international travel end-to-end, including detailed itineraries and contingency planning. Drive meeting excellence by preparing agendas, gathering pre-reads, tracking action items, and ensuring follow-through. Support executive meetings, leadership offsites, and high-profile events.
Communication & Cross-Functional Coordination: Track action items, deadlines, and executive commitments to ensure accountability and follow-through. Coordinate across internal teams, partners, and external stakeholders. Partner with other EAs to create streamlined processes and ensure consistent execution across the executive team. Draft and edit professional communications on behalf of executives as needed.
Operational & Project Support: Support special projects and cross-functional initiatives led by the CEO’s office. Build and maintain systems, templates, and workflows that enable operational efficiency. Contribute to the development of scalable operating practices for the Office of the CEO. Handle highly sensitive and confidential information with the utmost professionalism and discretion. Remain calm, flexible, and solutions-oriented in the face of shifting priorities.
About You
This role is ideal for someone who thrives in fast-paced environments, anticipates needs, and can both provide seamless executive support and help strengthen and scale the broader Office of the CEO function.
Please note: This role is on-site, 5 days a week.
5+ years of experience as an Executive Assistant supporting C-suite executives, ideally within or closely aligned to a CEO’s office
Experience operating in a startup or high-growth environment (or demonstrated ability to thrive in one)
Exceptional organizational skills with the ability to prioritize effectively in a dynamic environment
Strong written and verbal communication skills; clear, concise, and polished
High emotional intelligence and executive presence
Sound judgment and unwavering discretion when handling confidential matters
Comfortable navigating ambiguity and change
Tech-savvy and fluent in modern productivity tools (Google Workspace, Slack, etc.)
Willingness to maintain flexibility in hours to support the needs of a C-suite environment
Willingness to travel as needed
